In EventPilot, you can import your conference data directly from other systems - for example:
- Google Sheets
- Sessions, speakers, abstracts, linked content (media items), exhibitors, attendees
- Abstract systems like ScholarOne, Confex, Planstone, etc.
- Sessions, speakers, abstracts, often also ePosters
- Exhibitor systems like MYS or A2Z
- Exhibitor list
- Registration systems like CDS, Maritz, or eShow
- Attendee list
Whenever possible, make updates in the original system (for example, update a speaker’s name in ScholarOne) and then click Import All in the EventPilot Conference App Builder. This keeps your data consistent and avoids mistakes.
If you need to make a quick change that can’t for some reason make that change in your data source, you can edit the record directly in the EventPilot Conference App Builder:
- Find the record
- Click the pencil icon
- Make any necessary edits
- Publish
Keep in mind that once you manually edit a record in EventPilot, it will no longer update automatically from your data source. You are breaking the link to the import source of this edited record. The manual edit is indicated with a red pencil icon in the App Builder.
After manually editing an imported record, you are basically flagging this record and telling the system that that data source is incorrect and to ignore this record on the next data import. Your manual edit supersedes the data source.
Tip: Temporary quick manual edit
For Sessions, Speakers, and Media: If you simply didn't have time to wait for the 3rd party content API to update and you needed to push out an immediate change, you can manually edit the record and publish. This breaks the sync to the import source for this record.
Later on, if you would like to have the record linked again to your data source:
- Update your data source for that record to reflect your manual changes
- Find the record in the Conference App Builder and delete it there
- Import
Your record will now be back in sync with your source system.
If you make manual changes in the exhibitor or attendee tab in the Conference App Builder, those changes will remain, even if you deleted the record and you are reimporting. The changes are retained at all times for that record ID.
